Job Description

SUMMARY : Plans, coordinates, and assists with personnel training and staff development programs for organization by performing the following duties. Regular attendance is an essential function of the job. PIC cannot accommodate unpredictable or sporadic absenteeism, unless it is covered by federal/state law ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned. 1. Confers with and provides support to Training Manager to determine training needs for other departments. 2. Organizes trainings with Training Manager, schedules personnel to attend, makes BEO requests, prepares materials, set up laptop and Training Suite, and prepares certificates of completion. 3. Maintains reservations of Training Suite and HR Laptop for the use of other department required trainings. 4. Presents New Employee Orientation and Hafa Adai Hospitality as deemed necessary by the Training Manager. 5. Prepares storeroom requisitions for supplies needed for training. 6. Maintains and updates Training Calendar on PIC Intranet for the most current trainings. (Human Resources Trainings, Total Quality Experience, Certifications, Safety Training) 7. Maintains attendance records to evaluate participation of Total Quality Experience (TQE) Trainings within each department while monitoring renewals and keeping lists up to date with current employees of specific departments. 8. Maintains and updates training records for employees into Ceridian, updates training schedule/tracking spreadsheet and scans attendance sheets to appropriate file. 9. Processes attendance sheets with Accounting Department to ensure proper compensation of training hours for every attendee. 10. Oversees in-processing of Interns, schedules airport pick-up, coordinates room preparations, takes interns for pre-employment drug testing, processes enrollment for insurance, creates and maintains personnel file with proper documentation, processes visa reimbursement request to accounting, transports interns to Social Security office for application. 11. Oversees out-processing of Interns, schedules airport drop-off, coordinates room inspection for reimbursement, processes cancellation of insurance, coordinates security deposit reimbursement. 12. Maintains Visa listing for all current interns as well as future arrivals and departures with correct information in regard to their program, updates and maintains a master in-house listing which includes all residents. 13. Coordination of interim and final evaluations to the department managers. 14. Oversees the Complementary Room and Friends & Family (F&F) requests for employees. Including submitting requests for authorization, following up on the status, and maintaining the request log. Maintains awareness of Stop Sell dates and seasonal rates. 15. Serves as the primary contact for employee Day Guest requests. Maintains the day guest request log and monitors capacity rates. Ensures employees have signed the benefit and rules policy. Drops off the passes to the Day Guest Counter by 9:30am Monday-Friday and 4:00pm on Fridays for employees visiting on the weekend. 16. Drafts check requests for GHRA Sports Registrations, Certifications, Functions and other training related payments. 17. Assists department with maintaining their employee photo boards. 18. Maintains the HR informational update boards including monthly birthday celebrations and employee anniversaries. 19. Assists with other projects and task as assigned by the Training Manager. 20. Assists with daily HR operations including but not limited to – employee inquiries, nametags order, birthday party planning, training orientation, filing of HR records, conduct HR meetings as assigned, etc. COMPANY STANDARD Ensures /maintains the cleanliness and upkeep of PIC property (picking up loose trash, material and debris and disposing of it in appropriate trash receptacles provided). WRITTEN COMMUNICATION : The individual edits work for spelling and grammar, presents numerical data effectively and is able to read and interpret written information. LANGUAGE SKILLS : Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manual. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public in a timely manner. QUALITY CONTROL : The individual demonstrates accuracy and thoroughness and monitors own work to ensure quality. EDUCATION and/or EXPERIENCE : One-year certificate from college or technical school; or one year related experience and/or training; or equivalent combination of education and experience. TECHNICAL SKILLS : Proficiency in Microsoft Office applications – Outlook, Word, Excel, Publisher. Proficiency in Ceridian, and any other applications that may be used in the daily operations of the HR Department.
