Searching for an Executive Assistant/Personal Assistant to perform administrative, bookkeeping and personal assistant type tasks for multiple businesses located in the same office. The individual needs to be hyper vigilant and pays attention to detail. The owner is extremely busy and needs hands on help with all the office work for both professional and personal tasks.

Duties include, but are not limited to the following:

-Manage multiple company finances such as monthly invoices, payroll, credit card reconciliations, bank reconciliations, paying bills, Quickbooks data entry, etc.

-Prepare proposal letters, review contracts, prepare insurance certificates, maintaining and organizing records for several properties and fleet, etc.


-Making calls for repairs and maintenance for various properties


-Scheduling appointments and maintain calendar, including daily reminders of appointment time and deadlines


-Email correspondence with various insurance agents, vendors, employees, etc.

-Perform recruitments, applicant screening and interviewing.

-Prepare documents for escrow and lenders for various property transactions.

-Prepare documents for various legal actions.

-Occasional running of various errands (pet appointments, pickup/drop off at airport, etc.)

-Ordering of Amazon and online items (household supplies, personal care, pet food and supplements, etc) regularly and keep tracking of inventory

-Occasional event planning such as for the company holiday party, conference booth, personal parties

-Organizing, filing, etc.

Job requirements:

Must have strong interpersonal skills, be tech-savvy with social media, have experience with standard office software (Word, Excel, Outlook), email programs, Quickbooks. Intermediate Excel skills is a must. Be an active listener and possess good communication skills. Must be proactive and be able to problem solve independently without direction. Must have the ability to multitask, have strong time-management and organization skills. Must be have great attention to detail and be accurate with numbers. Must possess professional writing skills and be eloquent and articulate over the phone. Must communicate everything and not be sensitive to being micromanaged (at least in the beginning). Must have high integrity, high work ethic, and work efficiently. Must be a quick learner, show initiative, work under minimal supervision. Must not bring drama or create drama in the workplace. Must be willing to work with a straight forward, direct, no nonsense, Type A personality boss who has no time for drama or sensitivity issues. The job requires extreme multitasking as you will pulled in different directions on a daily basis.


Must not be allergic to cats and dogs and be an animal lover. Must be willing to do light housekeeping and pet care for multiple animals on occasion. Must be

A minimum of an Associates degree is required and 5 years of administrative work experience OR 8 years of related work experience if no degree.

Must be willing to be fingerprinted (livescan), do a credit check and sign a non-disclosure agreement.

Work schedule is Monday-Friday, 6-8 hours per day starting at 8:30 am. Must be available to be on call for questions during the day/evenings and weekends when they arise. This job cannot be remote. Compensation depends on qualifications, ranging from $17-$35 per hour. 1099, no benefits. There will be a trial period at $17 per hour.
