Job Description

Ascendo Resources is currently seeking a Grants and Contracts Administrator for a full-time role. This role is hybrid (1 day work-from-home) and offers a salary up to $90,000 a year with offices located in Brooklyn, NY.

Our client is a leading non-profit organization with over 80 years of experience.

We are seeking a Grants and Contracts Administrator to manage the full lifecycle of grants and contracts from city, state, federal, and private sources. This role plays a critical part in ensuring compliance with funding requirements, maintaining up-to-date documentation across various portals (including government platforms), and supporting internal coordination for timely execution and audit-readiness. The ideal candidate will be detail-oriented, highly organized, and skilled in collaborating across multiple departments.

Key Responsibilities

Grant and Contract Management:

  • Collaborate on RFP submissions and contract execution
  • Maintain and update access to government funding portals
  • Provide oversight on the preparation of grant and contract budgets
  • Track submission deadlines and ensure timely, accurate portal updates
  • Ensure compliance with all contract requirements and funding terms
  • Coordinate with Finance, Legal, and Program teams to meet deliverables
  • Manage modifications, renewals, closeouts, and reporting requirements
  • Facilitate legal review and proper documentation filing

Compliance and Reporting:

  • Ensure all activities align with funder guidelines and internal policies
  • Maintain organized records of all grant and contract documentation
  • Provide regular progress and compliance reports to leadership
  • Support audits by preparing documentation and liaising with Finance
  • Assist in preparing annual budgets tied to grant and contract renewals
  • Work with grant accountants to support monthly billing submissions

Internal Coordination and Communication:

  • Serve as the point of contact for all contract- and grant-related inquiries
  • Work closely with Finance to transition finalized contracts for processing
  • Lead stakeholder meetings to address issues and monitor progress
  • Communicate key deadlines and ensure organizational accountability
  • Support additional finance-related tasks as requested by leadership

Qualifications

  • Bachelor's degree required
  • Minimum of 5 years of grant and contract management experience, preferably within a non-profit or human services organization
  • Strong knowledge of grant compliance and funding processes
  • Proficiency in Microsoft Office, especially Excel
  • Experience using government platforms such as Passport, SFS, and NYC Council Discretionary Funding Portal

We Prefer:

  • Experience in program development, proposal writing, and funder relations
  • Background working with city, state, and federal funding sources
  • Prior supervisory experience and leadership capability
  • Familiarity with budget development and audit preparation processes
