Position Overview

The Eric Layne Group at Compass , a high-performing real estate team serving the Charlotte market for over 15 years, is seeking a highly organized, detail-oriented Transaction and Listing Coordinator with strong knowledge of North Carolina real estate contracts and compliance requirements.

This role requires a self-starter who thrives in a fast-paced, deadline-driven environment and can manage multiple listings and closings simultaneously. You’ll play a critical role in ensuring a seamless experience for our clients—from listing launch to closing table.

Key Responsibilities

• Manage all aspects of real estate transactions from listing to contract to close, ensuring accuracy and compliance with NC Real Estate Commission and MLS standards.
• Coordinate listing preparation: photography, staging, marketing materials, MLS input, and showing feedback tracking.
• Communicate effectively with clients, agents, attorneys, inspectors, lenders, and vendors to maintain smooth timelines and successful closings.
• Review and understand North Carolina purchase agreements, addenda, and disclosure forms to ensure document accuracy and compliance.
• Maintain transaction checklists within the Compass dashboard, key deadlines, and compliance documentation.
• Track earnest money, due diligence, inspection, and appraisal milestones.
• Create, manage, and store all transaction files within the Compass dashboard and Google Workspaces
• Provide weekly status updates on active files to clients and team members.
• Support listing operations including MLS entry, photography scheduling, and pre-list prep.
• Handle post-closing file audits, document organization, and compliance reporting.

Qualifications

• Minimum 5 years of real estate experience (transaction coordination, listing management, or similar administrative role).
• Deep understanding of North Carolina real estate contracts and local compliance.
• Strong time management and multitasking abilities under tight deadlines.
• Proficient in Google Workspace (Drive, Sheets, Docs, Gmail, Calendar) and eventually the Compass CRM and dashboard.
• Excellent communication and organizational skills with strong attention to detail.
• Calm and professional under pressure; deadline-oriented and solutions-focused.

Compensation

• Compensation is a fixed amount per transaction , paid upon successful closing.
• Additional pay available for per-listing coordination services (pre-list setup and marketing prep).
• Opportunity to increase per-file rate based on experience, performance, and tenure.
• This is a 1099 contractor position with consistent transaction volume from a top-performing Compass team.
